Applies to: Windows 10/11, macOS, iPhone, iPad, Android, and Supported Web Browsers
Difficulty: Beginner
Estimated Time: 3–5 minutes

Overview

TSN Phone allows you to personalize your business calling profile by adding a profile picture and viewing information associated with your extension. Your profile picture, also called an avatar, helps coworkers recognize you in the employee directory, contact lists, and supported communication features. Depending on your account permissions, you may also be able to review or update certain personal account details. This guide explains how to add, change, or remove your profile picture, review your extension information, and request corrections to information that is managed by True Synergy Networks.

Before You Begin:

  • Make sure you have an active TSN Phone account.
  • Sign in to the approved TSN Phone application.
  • Have a suitable profile picture saved on your computer or mobile device.
  • Confirm that your device is connected to the internet.
  • Use a professional photo that complies with your organization’s policies.

Important: Your name, extension number, email address, and other company-managed information may not be editable through the TSN Phone application. Contact True Synergy Networks if these details need to be corrected.

Note: Profile settings may appear differently depending on your TSN Phone application version.

Understanding Your TSN Phone Profile

Your TSN Phone profile may display the following information:

  • First and last name.
  • Extension number.
  • Email address.
  • Profile picture.
  • Current presence status.
  • Associated calling devices.
  • Other information configured by your organization.

Profile Picture

Your profile picture helps other employees identify you when using TSN Phone.

It may appear in:

  • Employee directories.
  • Contact lists.
  • Chat conversations.
  • Presence indicators.
  • Other supported application interfaces.

Extension Number

Your extension number identifies your internal telephone account.

For example, coworkers may dial your extension directly rather than entering your full business telephone number.

Email Address

Your email address may be used for account authentication, voicemail notifications, and other system communications.

Presence Status

Your presence indicates whether you are available, busy, away, or otherwise unavailable.

How to Choose a Good Profile Picture

For the best results, use a photograph that:

  • Clearly shows your face.
  • Has good lighting.
  • Uses a simple background.
  • Is appropriate for a professional environment.
  • Can be cropped into a square or circle.
  • Does not contain confidential information.

Avoid photographs that are blurry, heavily filtered, or difficult to recognize.

Recommendation: A simple head-and-shoulders photograph generally works best because TSN Phone may display your avatar as a small circular image.

Note: Exact supported image formats, dimensions, and file size limits may depend on your application version.

Your TSN Phone profile may display information assigned to your account.

Windows or Mac

  1. Open TSN Phone.
  2. Click your profile picture or avatar.
  3. Open Personal Information or Profile.
  4. Review the displayed details.

Common information includes:

  • First name.

  2. Navigate to Profile.
  3. Review your displayed name, extension, and account information.

Important: Some information may be read-only because it is managed by your organization.

How to Correct Your Name or Email Address

If your name or email address is incorrect:

  1. Open your TSN Phone profile.
  2. Review the information that needs correction.
  3. Confirm the correct details with your organization’s authorized contact.
  4. Contact True Synergy Networks and request the appropriate update.

For example, you may need to request a change because of:

  • A misspelled name.
  • A name change.
  • An incorrect work email address.
  • An incorrect extension assignment.
  • An outdated department or job title.

Important: Changing the email address associated with your extension may affect authentication and system notifications. Do not attempt to change administrator-managed account information without approval.

How to Verify Your Extension Number

Your extension number is the internal number coworkers use to reach you.

Desktop

  1. Open TSN Phone.
  2. Click your profile.
  3. Locate the displayed extension number.
  4. Confirm that it matches your assigned extension.

Mobile

  1. Open TSN Phone.

Web Browser — Review Your Profile

If your organization has enabled browser-based TSN Phone access:

  1. Open the approved TSN Phone web address provided by True Synergy Networks.
  2. Sign in using your assigned account.
  3. Open your profile or account information.
  4. Review the displayed information.
  5. Look for an avatar editing option if available.

Note: Some browser versions support viewing profile information without providing all of the picture editing options available in the desktop or mobile application.

If you cannot change your picture through the web application, try the approved desktop or mobile application.

Important: Use only the login address provided or approved by True Synergy Networks.

Understanding Profile Picture Synchronization

When you update your avatar, supported TSN Phone applications may synchronize the picture across your account.

For example:

  1. You update your profile picture on your computer.
  2. The application saves the image.
  3. You open TSN Phone on your mobile device.
  4. Your updated picture may appear there as well.

Coworkers may also see the new picture in supported employee directories.

Note: Synchronization may take some time. Cached profile pictures can temporarily cause different devices to display different images.

Troubleshooting

I Cannot Find My Profile Settings

If you cannot locate your profile:

  1. Open TSN Phone.
  2. Look for your name, initials, or avatar.
  3. Click or tap the profile area.
  4. On mobile, check the More menu if Profile is not visible.

I Cannot Change My Profile Picture

If selecting your avatar does nothing:

  1. Confirm that you are using the approved TSN Phone application.
  2. Verify that your account is connected.
  3. Check that you are selecting the actual avatar rather than the presence indicator.
  4. Try another supported device.
  5. Contact True Synergy Networks if the problem continues.

Note: Avatar editing permissions and controls may depend on your application version.

My Profile Picture Will Not Upload

If your photograph is rejected or does not appear:

  1. Confirm that your new picture saved successfully.
  2. Check your internet connection.
  3. Close and reopen TSN Phone.
  4. Allow time for synchronization.
  5. Ask a coworker to refresh their application if necessary.

If the old picture remains after synchronization, contact True Synergy Networks.
