Overview
Sometimes an email may appear to be missing from your Microsoft Outlook Inbox, even though it was successfully delivered. This can happen when a message is moved to another folder, marked as junk, archived, filtered from view, or automatically organized by an email rule. This guide explains how to locate missing emails in Microsoft Outlook, check common folders, review email rules, and recover messages that may have been accidentally deleted.
Before You Begin:
- Make sure you are signed into your Microsoft 365 work email account.
- Confirm that your device is connected to the internet.
- If possible, have the sender’s email address or the subject of the missing message.
- Determine approximately when the email was sent.
- If you are expecting an email from someone, verify that they sent it to the correct email address.
Note: If your organization uses TSN Cyber Email Security, some messages may be quarantined before reaching Outlook. Contact True Synergy Networks if you believe an expected email was blocked or quarantined.
Windows — Find Missing Emails in Outlook
Step 1: Search Your Mailbox
- Open Microsoft Outlook on your Windows computer.
- Make sure you are signed into your Microsoft 365 work account.
- Locate the Search bar at the top of Outlook.
- Enter the sender’s email address, a keyword, or part of the email’s subject.
- Press Enter.
- Review the search results.
Note: If Outlook provides a search location option, select All Folders or All Mailboxes, as appropriate, to expand your search.
Important: Searching only your Inbox may exclude emails located in other folders.
Step 2: Check Your Junk Email Folder
- Locate the folder list on the left side of Outlook.
- Select Junk Email.
- Review the messages in the folder.
- Look for the missing email.
If you find the email:
- Select the message.
- Click Report → Not junk, if available.
- Alternatively, right-click the message and choose Move → Inbox.
- Confirm that the message appears in your Inbox.
Important: Only mark an email as legitimate if you recognize and trust the message. If the email contains suspicious links, unexpected attachments, or unusual requests, contact True Synergy Networks before releasing or interacting with it.
Step 3: Check Your Deleted Items Folder
- In Outlook, locate the folder list.

- Locate the Archive folder in Outlook.
- Open the folder.

- If found, right-click the email.
- Select Move → Inbox, if desired.

If you find the message:

Note: Messages in the Other tab are still delivered to your mailbox. They are simply displayed separately from your Focused emails.
Step 6: Check Your Email Filters
- Open your Inbox.
- Locate the Filter menu, if available.
- Confirm that your messages are not filtered to show only unread, flagged, or categorized emails.
