Overview
Microsoft Outlook allows you to create email rules that automatically organize incoming messages based on conditions you choose. For example, you can automatically move emails from a specific sender into a folder, organize newsletters, or sort messages containing certain keywords. This guide explains how to create, edit, disable, and delete personal email rules in Microsoft Outlook without contacting True Synergy Networks.
Before You Begin:
- Make sure you are signed into your Microsoft 365 work email account.
- Have access to Microsoft Outlook or Outlook on the Web.
- Determine which emails you want to organize.
- Decide which folder you want matching emails to be moved into.
- If needed, create a folder before configuring your rule.
Important: Email rules can automatically move, delete, or redirect messages. Incorrectly configured rules may cause important emails to disappear from your Inbox. We recommend starting with simple rules that move messages into folders rather than deleting or forwarding them.
Windows — Create an Email Rule
Step 1: Open Microsoft Outlook
- Open Microsoft Outlook on your Windows computer.
- Make sure you are signed into your Microsoft 365 work account.
- Determine whether you are using New Outlook or Classic Outlook.
Note: The steps for creating email rules vary depending on your Outlook version.
Step 2: Access Email Rules
New Outlook:
- Open Microsoft Outlook.
- Click the Settings gear icon.
- Navigate to Mail → Rules.
- Click Add new rule.
Classic Outlook:
- Open Microsoft Outlook.
- Click File.
- Select Manage Rules & Alerts.
- Click New Rule.
- Choose a rule template or select Apply rule on messages I receive.
- Click Next if prompted.
Step 3: Configure Your Rule
Every basic email rule has three components:
- Name: A name to help identify your rule.
- Condition: Determines which incoming emails the rule applies to.
- Action: Determines what happens when a matching email arrives.
Example: Automatically Organize Emails From a Sender
- Enter a name for your rule, such as Move Vendor Emails.
- Select From or the available sender condition.
- Enter the email address of the sender you want to organize.
- Under Action, select Move to.
- Select the destination folder.
- Review the rule settings.
- Click Save or Finish, depending on your Outlook version.
Note: You can add multiple conditions or exceptions if your rule requires more specific filtering.
Step 4: Test Your Email Rule
- Ask the selected sender to send you a test email, or wait for the next expected message.
- Open the destination folder.
- Verify that the email was automatically moved.
- Check your Inbox if the message does not appear.
- Review your rule settings if the email was not processed as expected.
Important: Some rules created in Classic Outlook only run while Outlook is open. Rules supported by Exchange Online can continue running even when Outlook is closed.
Mac — Create an Email Rule
Step 1: Open Microsoft Outlook
- Open Microsoft Outlook on your Mac.
- Make sure you are signed into your Microsoft 365 work account.
- Locate the menu bar at the top of your screen.
Step 2: Access Rules
- Click Outlook → Settings.
- Select Rules.
- Click Add Rule or the plus (+) button.
- Enter a name for your rule.
Step 3: Configure Your Rule

- Enter the required information, such as a sender’s email address.
- Under Action, choose what Outlook should do with matching messages.
- Select the folder where emails should be moved, if applicable.
- Add additional conditions or exceptions if needed.
- Save your rule.
Example: You can create a rule that moves all messages from a specific customer into a folder named after that customer.
Note: Current Outlook for Mac versions support server-based email rules. Available conditions and actions may differ from Classic Outlook for Windows.
Step 4: Verify Your Rule
- Return to your Outlook Inbox.
- Wait for a new email that matches your rule.

iPhone or iPad — Manage Email Rules
The Microsoft Outlook application for iPhone and iPad does not provide the same built-in Rules settings available in desktop Outlook. However, you can create and manage your email rules using Outlook on the Web.

Note: The mobile browser layout may not display all Rules settings. If the option is unavailable, use Outlook on a Windows or Mac computer instead.
Android — Manage Email Rules
The Microsoft Outlook application for Android does not provide the same built-in Rules settings available in desktop Outlook. You can create or modify rules using Outlook on a computer or through Outlook on the Web.
Step 1: Open Outlook in Your Browser

- Visit https://outlook.office.com.

Step 1: Open Your Rules
- Open Outlook.
- Navigate to your email Rules settings using the instructions above.
- Locate the rule you want to remove.
Step 2: Delete the Rule
- Select the rule.
- Click Delete or the trash can icon.

Common Email Rule Examples
You can create rules for several everyday situations.
Organize Emails From a Customer:
- Condition: Email is from a specific customer.
- Action: Move the email to a customer folder.
Organize Newsletters:
- Condition: Email is from a specific newsletter sender.
- Action: Move the email to a Newsletters folder.
Organize Emails by Subject:
- Condition: Subject contains a specific word, such as “Invoice”.
- Action: Move the email to an Invoices folder.
Organize Internal Notifications:
- Condition: Email is from a known internal notification address.
- Action: Move the email to a designated folder.
Recommendation: Start with rules that organize messages into folders. Avoid automatically deleting emails, as this may cause you to miss important communications.
Troubleshooting
My Email Rule Is Not Working
If Outlook is not automatically processing messages:
- Verify that the rule is enabled.
- Confirm that the sender or other conditions are entered correctly.
- Make sure the destination folder still exists.
- Review whether another rule is processing the message first.
- Check whether the rule requires Classic Outlook to remain open.
- Try creating the rule again using Outlook on the Web.
If the issue continues, contact True Synergy Networks.
Emails Are Missing From My Inbox
If emails appear to be missing after creating a rule:
- Open your Outlook Rules settings.
- Review any rules that automatically move or delete messages.
- Check the folders associated with those rules.
- Check your Deleted Items folder.
- Temporarily disable the suspected rule if necessary.
- Verify whether the missing messages appear in another folder.
Important: If important emails continue disappearing, contact True Synergy Networks. Unexpected rules may also indicate unauthorized account activity.
Multiple Rules Are Affecting the Same Email
If an email meets the conditions of multiple rules, Outlook may process more than one rule.
- Open your Rules settings.
- Review the order of your existing rules.
- Check whether multiple rules affect the same sender or message.
- Review the Stop processing more rules setting, if available.
- Adjust the rule order or conditions as necessary.
Note: Rules are generally evaluated in their configured order. Some rules may stop additional rules from processing the same message.
My Rule Works on One Device but Not Another
Some Classic Outlook rules require the desktop application to remain open.
- Open Outlook on the Web.
- Review whether the rule appears in your Rules settings.
- Check whether the rule is compatible with server-side processing.
- If necessary, create a new supported rule through Outlook on the Web.
Note: Server-based rules are generally the preferred option for organizing emails across multiple devices.
I Cannot Find the Rules Option
If the Rules option is missing:
- Confirm that you are signed into your Microsoft 365 work email account.
- Verify that you are using a supported Outlook version.
- Try accessing Outlook through https://outlook.office.com.
- Open Outlook on a Windows or Mac computer if you are using a mobile device.
If the option remains unavailable, contact True Synergy Networks.
Additional Information
- Email rules help organize incoming messages automatically.
- Rules can use conditions such as sender, recipient, or subject.
- Supported server-based rules continue running even when Outlook is closed.
- Some Classic Outlook rules require the desktop application to remain open.
- Email rules can be edited, disabled, or deleted at any time.
- Rules do not automatically restore messages that were previously moved.
- Outlook mobile applications do not provide the same built-in Rules management settings as desktop Outlook.
Security Reminder: Never create email rules that automatically forward company email to personal or unauthorized external addresses. Avoid rules that automatically delete important emails or hide security notifications. Unexpected forwarding, deletion, or mailbox rules may indicate that someone has gained unauthorized access to your account. If you discover an unfamiliar rule or suspect your mailbox has been compromised, contact True Synergy Networks immediately.
