Understanding OneDrive File Status Icons
When using OneDrive on Windows or Mac, you may notice different icons next to your files.
Cloud Icon: The file is stored in OneDrive and is available online. It may need to download when you open it.
Green Checkmark: The file has been downloaded to your computer and is available locally.
Solid Green Circle With a White Checkmark: The file has been marked as Always keep on this device and is intended to remain available offline.
Circular Arrows: OneDrive is currently synchronizing the file or folder.
Red X or Error Indicator: OneDrive has encountered a synchronization issue.
Important: Do not assume a file has been successfully uploaded until OneDrive indicates that synchronization is complete.
How to Check Your OneDrive Sync Status
Windows
- Locate the OneDrive cloud icon in the Windows taskbar notification area.
- Click the icon.
- Review the synchronization status.
- Check whether OneDrive reports Your files are synced or a similar completed status.
- If an error appears, review the message.
Mac
- Locate the OneDrive cloud icon in the macOS menu bar.
- Click the icon.
- Review the synchronization status.
- Confirm that synchronization is complete.
Note: If the OneDrive cloud icon is not visible, the application may not be running. Open OneDrive from the Start menu on Windows or Applications on Mac.
How to Access OneDrive Files Without Internet
OneDrive allows certain files to be stored locally so they can be opened without an internet connection.
Windows
- Open File Explorer.
- Navigate to your organization’s OneDrive folder.
- Right-click the file or folder you want available offline.
- Select Always keep on this device, if available.
- Allow OneDrive to download the selected content.
Mac
- Open Finder.
- Navigate to your OneDrive folder.
- Right-click or Control-click the desired file or folder.
- Select Always Keep on This Device, if available.
- Wait for the content to download.
Note: Offline files use storage space on your computer. Changes made while offline will synchronize when OneDrive reconnects to the internet.
Important: Do not mark large folders or your entire OneDrive as available offline unless you have sufficient storage and your organization permits it.

- Stop the setup process.
- Record the error message.
- Contact True Synergy Networks.
