How to Manage Your Microsoft 365 Devices and Sign Out of an Account

Category: Microsoft 365
Applies to: Windows 10/11, macOS, iPhone, iPad, Android, and Web Browsers
Difficulty: Beginner
Estimated Time: 3–5 minutes

Overview

Microsoft 365 allows you to review devices associated with your work or school account and sign out of Microsoft 365 applications when needed. This can help you keep track of devices, protect your account, and prevent others from accessing your work information. This guide explains how to view devices associated with your Microsoft 365 account, sign out of Microsoft 365 applications, and identify when you should contact True Synergy Networks for assistance.

Before You Begin:

  • Make sure you have your Microsoft 365 work email address and password.
  • Have Microsoft Authenticator available if your account requires verification.
  • Confirm that your device is connected to the internet.
  • Use an authorized device to access your account information.

Important: If your device is managed by True Synergy Networks, do not disconnect your work account from Windows or macOS, remove organization management, or disable a registered device without contacting support.

Windows or Mac — View Your Connected Devices

Step 1: Access Your Microsoft Account

  1. Open your preferred web browser, such as Microsoft Edge, Google Chrome, Safari, or Firefox.
  2. Visit https://myaccount.microsoft.com.
  3. Sign in using your Microsoft 365 work email address.
  4. Enter your password.
  5. Complete any required Microsoft Authenticator verification.

Step 2: Open the Devices Page

  1. Locate the navigation menu on the left side of the Microsoft account portal.
  2. Click Devices.
  3. Review the list of devices associated with your work account.

Depending on your organization’s configuration, the portal may display:

  • Device name.
  • Operating system.
  • Device registration information.
  • Device status.
  • Additional device details.

Note: The Devices page may not display every device or browser where you have signed into Microsoft 365.

Step 3: Review Your Devices

  1. Look through the devices listed.
  2. Identify devices you currently use for work.
  3. Check whether any device names appear unfamiliar.
  4. Take note of devices you no longer recognize or use.

Important: Do not select Disable or attempt to remove a device yourself. Disabling a device may prevent it from accessing company services and can require administrator assistance to restore access. If you notice an unfamiliar device, contact True Synergy Networks.

Windows — Sign Out of Microsoft 365 Applications

Step 1: Open Microsoft Word or Excel

  1. Open Microsoft Word, Excel, or PowerPoint.
  2. Make sure the application is signed into your Microsoft 365 work account.
  3. Click File.
  4. Select Account.

Step 2: Sign Out

  1. Locate your signed-in account.
  2. Select Sign out.
  3. Confirm the action if prompted.
  4. Close the Microsoft 365 application.

Important: Signing out may affect Office activation and access to connected files. You may need to sign in again before editing documents.

Note: Signing out of an Office application does not necessarily sign you out of Outlook, Teams, OneDrive synchronization, or Windows itself.

Mac — Sign Out of Microsoft 365 Applications

Step 1: Open a Microsoft 365 Application

  1. Open Microsoft Word, Excel, or PowerPoint on your Mac.
  2. Make sure you are signed into your Microsoft 365 work account.
  3. Locate the application menu at the top of your screen.

Step 2: Sign Out

  1. Click the application name in the menu bar.
  2. Select Sign Out, if available.
  3. Confirm the sign-out request.
  4. Quit the application.

Note: Signing out of one Microsoft 365 application may affect other Office applications using the same account.

Important: If your Mac is managed by True Synergy Networks, do not remove your work account from macOS system settings or organization management.

Outlook on the Web — Sign Out of Your Account

Step 1: Open Microsoft 365

  1. Open your preferred web browser.
  2. Visit https://www.microsoft365.com.
  3. Sign in using your Microsoft 365 work account if necessary.

Step 2: Sign Out

  1. Click your profile picture or initials in the upper-right corner.
  2. Select Sign out.
  3. Wait for Microsoft 365 to finish signing you out.
  4. Close the browser tab when finished.

Note: If you use multiple Microsoft accounts in the same browser, you may still see previously used account names on the sign-in screen.

Important: Signing out of Microsoft 365 in one browser does not guarantee that every Microsoft application or other device has been signed out.

iPhone or iPad — Sign Out of Microsoft 365 Applications

Step 1: Open Your Application

  1. Open Microsoft Word, Excel, or PowerPoint on your iPhone or iPad.
  2. Make sure you are signed into your Microsoft 365 work account.
  3. Open the account or profile menu.

Step 2: Sign Out

  1. Locate your Microsoft 365 work account.
  2. Select the account.
  3. Tap Sign Out, if available.
  4. Confirm the action.
  5. Close the application.

Note: Different Microsoft 365 mobile applications may have different account menus.

Important: Signing out of an application is not the same as removing your device from your organization’s management system.

Android — Sign Out of Microsoft 365 Applications

Step 1: Open Your Application

  1. Open Microsoft Word, Excel, or PowerPoint on your Android device.
  2. Open the account or profile menu.
  3. Select your Microsoft 365 work account.

Step 2: Sign Out

  1. Locate Sign Out.
  2. Tap the option.
  3. Confirm the action if prompted.
  4. Close the application.

Note: Depending on your application version, account settings may appear in different locations.

Important: If the application is managed by your organization, some account and sign-out options may be restricted.

How to Remotely Sign Out of Microsoft 365 Office Applications

If you no longer have access to a computer where Microsoft 365 Office applications were installed, your account may provide an option to sign out of Office remotely.

Step 1: Open Your Microsoft 365 Account

  1. Open your preferred web browser on a device you still have access to.
  2. Visit https://portal.office.com/Account/#home.
  3. Sign in using your Microsoft 365 work account.
  4. Complete any required verification.

Step 2: Review Your Office Devices

  1. Locate Office apps & devices.
  2. Select View apps and devices.
  3. Expand the Devices section, if available.
  4. Review the listed Office installations.

Step 3: Sign Out of an Office Installation

  1. Identify the Office installation you want to sign out of.
  2. Verify that you have selected the correct device.
  3. Select Sign out next to the installation.
  4. Confirm the action if prompted.

Important: This action signs out or deactivates the Office installation. It is not a complete security sign-out of every Microsoft 365 service on that device.

Note: Microsoft states that remote Office sign-out may take up to 72 hours to take effect. If a device is lost or stolen, contact True Synergy Networks immediately rather than relying on this process alone.

What to Do if Your Device Is Lost or Stolen

If a device containing your work email, Microsoft Teams, OneDrive, or other company information is lost or stolen, immediate reporting is important.

Step 1: Contact True Synergy Networks

  1. Contact True Synergy Networks as soon as possible.
  2. Explain that your work device has been lost or stolen.
  3. Provide the device type, such as a Windows laptop, Mac, iPhone, or Android phone.
  4. Include the approximate time and location where it was last seen.
  5. Let the technician know whether the device had access to company email or files.

Step 2: Follow Security Instructions

True Synergy Networks may need to:

  • Review recent account activity.
  • Revoke active sign-in sessions.
  • Review device registration and management.
  • Protect company information stored on the device.
  • Reset or update authentication methods if necessary.

Important: Do not attempt to disable company-managed devices or remove organizational accounts yourself. Device security and account recovery actions should be coordinated with True Synergy Networks.

Troubleshooting

I Cannot See My Device in Microsoft 365

If your device does not appear in the Devices page:

  1. Verify that you are signed into the correct Microsoft 365 work account.
  2. Refresh the Devices page.
  3. Confirm that you are viewing your work or school account rather than a personal Microsoft account.
  4. Contact True Synergy Networks if you believe the device should be registered.

Note: Not every device used to access Microsoft 365 will necessarily appear on the Devices page.

I See a Device I Do Not Recognize

If an unfamiliar device appears:

  1. Do not disable or remove the device yourself.
  2. Record the device name and information displayed.
  3. Contact True Synergy Networks.
  4. Explain that an unfamiliar device appears on your account.

Important: An unfamiliar device may indicate unauthorized account access, but device names alone do not always identify the owner. True Synergy Networks can investigate.

Microsoft 365 Keeps Asking Me to Sign In

If Microsoft 365 repeatedly requests your credentials:

  1. Verify that your internet connection is working.
  2. Confirm that you are entering the correct work email address.
  3. Complete any legitimate Microsoft Authenticator requests.
  4. Close and reopen the affected application.
  5. Try signing into https://www.microsoft365.com.

If repeated sign-in prompts continue, contact True Synergy Networks.

Important: Never approve an unexpected Microsoft Authenticator request solely to stop repeated notifications.

I Signed Out but My Account Still Appears

Microsoft applications may remember previously used account names after you sign out.

  1. Confirm that the application is no longer signed in.
  2. Check whether you are being asked to enter your password again.
  3. Close the application or browser.
  4. Reopen it to verify the sign-out status.

Note: Seeing your email address on a sign-in screen does not necessarily mean your account is still authenticated.

If your account remains signed in on a shared or public device, contact True Synergy Networks.

I Cannot Sign Out of an Application

If the Sign Out option is missing or unavailable:

  1. Confirm that you are using your Microsoft 365 work account.
  2. Check the application’s account settings.
  3. Verify that the application is updated.
  4. Contact True Synergy Networks if the option is restricted.

Important: Do not uninstall company-managed applications, disconnect workplace accounts, or delete user profiles to force a sign-out.

Additional Information

  • Microsoft 365 allows users to review certain devices connected to their work or school accounts.
  • Not every signed-in device or application will appear in the Devices portal.
  • Signing out of Office does not necessarily sign you out of every Microsoft 365 service.
  • Remotely signing out of an Office installation may take up to 72 hours.
  • Signing out of Office may temporarily remove editing and activation functionality until you sign back in.
  • Organization-managed devices may have additional security and management restrictions.
  • True Synergy Networks manages account security, device administration, and advanced sign-out procedures.
  • Lost or stolen devices should be reported immediately.

Security Reminder: Never share your Microsoft 365 password or approve unexpected authentication requests. Do not disable registered company devices, disconnect organizational accounts, or remove device management settings without authorization. If a device is lost or stolen, or if you notice unfamiliar account activity, contact True Synergy Networks immediately.
