How to Save, Organize, and Generate Secure Passwords in Keeper

Applies to: Windows 10/11, macOS, Google Chrome, Microsoft Edge, Firefox, Safari, iPhone, iPad, and Android
Difficulty: Beginner
Estimated Time: 5–10 minutes

Overview

Keeper Password Manager allows you to securely store, organize, and manage passwords for your websites and applications. Instead of remembering multiple passwords or saving them in unsecured documents, you can store your credentials in your encrypted Keeper Vault. Keeper also includes a built-in password generator that creates strong, unique passwords for your accounts. This guide explains how to create password records, generate secure passwords, organize your vault, use Favorites, and update saved login information.

Before You Begin:

  • Make sure your Keeper account has been activated.
  • Sign in using your organization’s approved authentication method.
  • Confirm that your device has an internet connection.
  • Have the login information for the account you want to save.
  • Install KeeperFill if you want to save and fill passwords directly from your browser.

Important: Only store credentials that you are authorized to use. Shared company accounts may need to be saved in organization-approved shared folders rather than your personal vault.

Understanding Keeper Records

Keeper stores your information in encrypted entries called Records.

A record can contain:

  • Record title.
  • Username or email address.
  • Password.
  • Website address.
  • Notes.
  • Custom fields.
  • Supported passkeys.
  • Two-factor authentication codes.
  • Approved file attachments.

Example Record

Title: Company Customer Portal
Username: john@example.com
Password: Your saved password
Website: https://example.com

When you open this record, Keeper displays the saved information and provides options to copy or autofill your credentials.

Note: The information available in a record depends on the selected record type.

Windows or Mac — Create a New Password Record

Step 1: Open Your Keeper Vault

  1. Open the Keeper desktop application or a supported web browser.
  2. Visit https://vault.keepersecurity.com, unless your organization has provided another approved login address.
  3. Sign in using your assigned Keeper account.
  4. Complete any required authentication.

Step 2: Create a Record

  1. Click + Create New.
  2. Select Record.
  3. Choose Login as the record type.
  4. Enter a name for the record.
  5. Click Next, if prompted.

Step 3: Enter Login Information

  1. Enter the account’s username or email address.
  2. Enter the password.
  3. Enter the website address.
  4. Add an optional description or note if needed.
  5. Review the information.

Recommendation: Use a descriptive title that makes the account easy to recognize.

For example:

  • Microsoft 365 — Work Account.
  • Company Customer Portal.
  • Vendor Support Portal.
  • Business Scheduling System.

Important: Avoid storing passwords in ordinary Notes fields when a dedicated password field is available.

Step 4: Save the Record

  1. Click Save.
  2. Wait for the record to appear in your vault.
  3. Open the record to confirm that the information was saved correctly.

Your login is now stored in Keeper.

Note: Supported Keeper applications can synchronize saved records across your authorized devices.

How to Generate a Strong Password

Keeper includes a password generator that can create random passwords for your online accounts. Using a unique password for each account reduces the risk of one compromised password affecting multiple services.

Step 1: Open the Password Generator

  1. Open Keeper.
  2. Create a new record or edit an existing record.
  3. Locate the Password field.
  4. Click the dice icon next to the field.

Step 2: Configure the Password

Keeper may allow you to customize:

  • Password length.
  • Uppercase letters.
  • Lowercase letters.
  • Numbers.
  • Special characters.

Recommendation: Use a long, randomly generated password. A length of 16–24 characters or longer is a good default when the website supports it and your organization’s policies permit it.

Some websites require a particular combination of characters or impose their own password limitations.

Always follow the website’s requirements and your organization’s security policies.

Step 3: Generate the Password

  1. Review the generator settings.
  2. Generate the password.
  3. Select Use Password or the available option.
  4. Confirm that the generated password appears in the record.
  5. Save the record.

Important: Generating a password inside Keeper does not automatically change the password on the corresponding website.

You must also complete the website’s account creation or password change process.

Understanding Passwords vs. Passphrases

Keeper may also offer a passphrase generator.

A passphrase uses several randomly selected words instead of a conventional combination of random characters.

Random Password

A random password combines characters without using an easily predictable pattern.

Passphrase

A passphrase combines multiple randomly chosen words, often with separators or additional characters.

Recommendation: Use randomly generated passwords for most website logins. A long passphrase can be useful when a password must be typed manually, provided the website and your organization’s policies permit it.

Important: Never use familiar phrases, birthdays, company names, or predictable word combinations as passwords.

  4. Complete the website’s account creation or password change process.
  5. Confirm that Keeper saves the new password to the correct record.

Important: Verify that the password is successfully saved before signing out of the website.

Do not assume a password has been saved simply because Keeper filled it once.

Step 1: Sign In to a Website

  1. Open a trusted website.
  2. Enter your username and password.

  1. Sign in to the website.
  2. Navigate to the website’s password change settings.

  4. Use KeeperFill to sign in with the updated credentials.

Important: Updating the password in Keeper without changing it on the website will not update the actual account password.

Both must match.

Note: KeeperFill may offer an assisted password change process on supported websites.

How to Organize Your Keeper Vault With Folders

Folders help you keep related records organized.

For example, you may create folders for:

  • Work Applications.
  • Vendor Portals.
  • Customer Portals.
  • Finance Applications.
  • Personal Accounts, if allowed by your organization.

Important: Organization-approved business records should remain in the appropriate company or shared vault locations.

Step 1: Create a Folder

  1. Open your Keeper Vault.
  2. Click + Create New.
  3. Select Folder.
  4. Enter a descriptive folder name.
  5. Confirm the creation.

Step 2: Add Records to the Folder

  1. Locate the record you want to organize.
  2. Open its available menu.
  3. Select Move or the applicable organization option.
  4. Choose the destination folder.
  5. Confirm the change.

Depending on your Keeper version, you may also be able to organize records using drag-and-drop.

Step 3: Verify the Folder

  1. Open the newly created folder.
  2. Confirm that the intended records appear.
  3. Repeat the process for other records as needed.

Note: A record’s available folder actions may depend on its ownership and sharing permissions.

How to Create Subfolders

Subfolders allow you to organize records within an existing folder.

Example Structure

Work Applications

  • Microsoft 365
  • Vendor Portals
  • Customer Portals

Create a Subfolder

  1. Open Keeper.
  2. Select the folder where you want the subfolder.
  3. Choose Create New Folder or the available folder creation option.
  4. Enter the subfolder name.
  5. Save it.

Tip: Avoid creating too many deeply nested folders. A simple folder structure usually makes passwords easier to find.

Understanding Personal Folders vs. Shared Folders

Keeper supports personal and shared folders.

Personal Folders

Personal folders help you organize your own records.

Other employees do not automatically receive access to these folders.

Shared Folders

Shared folders allow authorized people or teams to access designated records.

Depending on permissions, shared folder members may be able to:

  • View records.
  • Edit records.
  • Add records.
  • Manage other shared folder members.

Important: Shared folder permissions are managed by authorized users and administrators.

Do not move confidential records into a shared folder unless the recipients are approved to access them.

How to Add a Record to Favorites

Favorites make frequently used records easier to access.

Step 1: Find the Record

  1. Open Keeper.
  2. Search for the record you want to favorite.
  3. Open the record.

Step 2: Add to Favorites

  1. Locate the star icon or available Favorites option.
  2. Select it.
  3. Confirm that the record is marked as a Favorite.

Step 3: Open Favorites

  1. Return to the Keeper Vault.
  2. Select Favorites.
  3. Locate the saved record.
  4. Open it when you need the credentials.

Note: Favorites do not create a separate copy of the password. They provide quicker access to the existing record.

How to Search for a Saved Password

Keeper includes search functionality to help you locate records quickly.

Step 1: Open Your Vault

  1. Sign in to Keeper.
  2. Locate the search field.

Step 2: Search

Enter one of the following:

  • Website name.
  • Record title.
  • Username.
  • Other recognizable record information.

Step 3: Open the Record

  1. Review the results.
  2. Select the intended record.

  3. Select it.

Step 2: Edit the Information

  1. Open your Keeper Vault.
  2. Find the record.
  3. Open its available menu.
  4. Select Delete.
  5. Review the confirmation prompt.
  6. Confirm the deletion only if appropriate.

Important: Do not delete shared business credentials or records subject to your organization’s retention requirements without authorization. Deleting a shared record may affect other employees who rely on it. Keeper may provide deleted-record recovery features, but availability depends on your account, permissions, and retention configuration.

Tips for Keeping Your Keeper Vault Organized

To make your vault easier to use:

  • Give each record a clear title.
  • Save the correct website address.
  • Use unique passwords for each account.
  • Organize records into logical folders.
  • Mark frequently used records as Favorites.
  • Remove outdated records only when permitted.
  • Avoid creating unnecessary duplicate records.
  • Keep shared business credentials in approved locations.
  • Update your saved password immediately when the website password changes.

Recommendation: Use Keeper’s password generator when creating new accounts rather than choosing memorable or reused passwords.

A well-organized vault reduces the chance of using outdated credentials or signing in to the wrong account.

Troubleshooting

I Cannot Save a New Record

If Keeper will not save a record:

  1. Confirm that you are signed into your account.
  2. Check your internet connection.
  3. Verify that all required fields are completed.

  3. Check that you are signed in.
  4. Review whether automatic save prompts are enabled.
  5. Check whether the website login is already saved.

My Generated Password Does Not Work

If a website rejects the generated password:

  1. Review the website’s password requirements.
  2. Check the allowed password length.
  3. Confirm which symbols are accepted.
  4. Generate another password that meets the requirements.
  5. Complete the website’s password change or account creation process.
  6. Save the accepted password in Keeper.

Important: Do not assume that generating a new password changes the actual website account password.

I Updated Keeper, but My Website Login Fails

If the saved password no longer works:

  1. Confirm that you are visiting the correct website.
  2. Check whether the username is correct.
  3. Determine whether the website’s password was actually changed.
  4. Review whether Keeper has an outdated record.
  5. Use the website’s authorized password recovery process if necessary.

For organization-managed credentials or accounts, contact True Synergy Networks for assistance.

  1. Open Keeper.

  1. Search for the website.
  2. Review the listed records.
  3. Compare the usernames and account details.
  4. Identify which records represent separate accounts.
  5. Remove duplicates only when you are certain they are no longer needed and you are authorized to delete them.

Important: Do not delete records simply because they have similar titles. They may contain credentials for different accounts.

My Records Are Not Synchronizing Between Devices

If your phone and computer display different records:

  1. Confirm that both devices use the same Keeper account.
  2. Check your internet connection.
  3. Unlock Keeper on both devices.

  1. Open your Keeper Vault.
  2. Look for deleted-record recovery options if available.
