How to View Call History and Return Missed Calls in TSN Phone

Applies to: Windows 10/11, macOS, iPhone, iPad, Android, and Web Browsers
Difficulty: Beginner
Estimated Time: 3–5 minutes

Overview

TSN Phone keeps a history of recent calls associated with your business extension. This allows you to review calls you have made, calls you have answered, and calls you may have missed. Call history is especially useful when returning customer calls, finding telephone numbers, and reviewing recent communication activity. This guide explains how to view your call history, identify missed calls, return calls, and understand how call history works across your TSN Phone devices.

Before You Begin:

  • Make sure you have an active TSN Phone extension.
  • Sign in to your approved TSN Phone application.
  • Confirm that your device is connected to the internet.
  • Make sure you are using the correct extension.
  • Have permission to return external calls through your organization’s phone system.

Note: Call history features and menu locations may vary depending on your TSN Phone application version and organizational configuration.

Understanding Your Call History

TSN Phone generally organizes calls into three main types.

Incoming Calls

Incoming calls are calls placed to your extension that you answered.

These entries may display:

  • Caller name, if available.
  • Telephone number.
  • Date and time.
  • Call duration.

Outgoing Calls

Outgoing calls are calls you placed from your TSN Phone extension.

These may include:

  • Calls to coworkers.
  • Calls to customers.
  • Calls to vendors.
  • Other permitted external telephone numbers.

Missed Calls

Missed calls are calls that reached your extension but were not answered.

Depending on your application, missed calls may be displayed with a different icon, color, or status.

Important: A missed-call entry does not always mean that the caller failed to reach your organization. The caller may have reached another employee, a departmental queue, or voicemail.

Understanding Call History Across Devices

Supported TSN Phone applications may synchronize recent call history between desktop, mobile, and web sessions.

For example:

  • A call made from your desktop application may appear in mobile Recents.
  • A missed call viewed on your mobile application may be marked as seen on your desktop.
  • Supported call history changes may synchronize across your devices.

Note: Synchronization depends on your organization’s configuration and the versions of the applications you use.

Call history is not intended to be a permanent archive.

Important: Recent call history may only be available for a limited period. Do not rely on the application as your organization’s long-term call reporting or recordkeeping system.

How to Check Missed Call Notifications

TSN Phone may display notifications when you miss an incoming call.

Windows or Mac

  1. Open the TSN Phone desktop application.
  2. Locate the notification or missed-call indicator.
  3. Open the notification.
  4. Review the caller information.

  2. Select Apps.
  3. Locate the TSN Phone application.
  4. Open Notifications.
  5. Confirm that notifications are enabled.
  6. Open TSN Phone to review missed calls.

Note: A missed-call notification may remain visible after the call has been reviewed, or disappear after synchronization, depending on your device and application version.

How to Add a Caller to Your Contacts

Some TSN Phone application versions allow you to create a contact directly from call history.

Step 1: Open the Call Entry

  1. Open History or Recents.
  2. Locate the telephone number you want to save.
  3. Select the call.
  4. Open its details or additional options.

Step 2: Save the Contact

  1. Select Add Contact, Create Contact, or the available option.
  2. Enter the person’s name.
  3. Verify the telephone number.
  4. Add any additional information.
  5. Save the contact.

Note: Contact creation options vary between desktop, mobile, and web applications.

Important: Only store customer contact information in approved business directories or applications.

How to Remove Call History Entries

Some TSN Phone applications allow users to remove individual call history entries or clear recent calls.

Step 1: Open History

  1. Open TSN Phone.
  2. Navigate to History or Recents.
  3. Locate the entry you want to remove.

Step 2: Review Available Options

  1. Open the entry’s additional actions.
  2. Look for Delete, Remove, or a similar option.
  3. Review the action before confirming.

Important: In supported synchronized call history configurations, deleting a call history entry from one application may also remove it from your other TSN Phone applications. Do not clear call history if your organization requires those records to be retained.

Note: Removing an entry from your application does not necessarily delete administrator-managed call records or reports.

Understanding Missed Calls From Ring Groups

If your organization uses shared telephone numbers, reception groups, or departmental queues, you may receive calls that are also ringing on other employees’ devices. A missed-call entry can occur when your extension receives a call but another employee answers it.

For example:

  1. A customer calls your company’s main number.
  2. Multiple employees receive the incoming call.
  3. Another employee answers.
  4. Your application may still display a missed or unanswered call, depending on the call group configuration.

Important: Before returning a missed call from a shared department or ring group, consider whether another employee already assisted the caller. If your organization experiences repeated or confusing missed-call notifications, contact True Synergy Networks.

Troubleshooting

My Recent Calls Are Missing

If call history is not displaying:

  1. Confirm that you are signed into the correct extension.
  2. Check your internet connection.
  3. Close and reopen the TSN Phone application.
  4. Review any available call history filters.
  5. Check another approved TSN Phone device if available.

If recent calls remain missing, contact True Synergy Networks.

Note: Call history retention is limited and older entries may no longer appear.

Missed Calls Are Not Showing

If a missed call does not appear:

  1. Confirm that the call was directed to your extension.
  2. Check whether another employee answered a shared departmental call.
  3. Open History or Recents.
  4. Review the missed-call filter.
  5. Confirm that your application has synchronized.

If the issue continues, contact True Synergy Networks.

I Cannot Return a Missed Call

If callback fails:

  1. Verify that the telephone number is valid.
  2. Confirm that your extension is connected.
  3. Check your internet connection.
  4. Verify that your organization permits calling the destination.
  5. Try entering the number manually through the TSN Phone dialer.

If the call still fails, contact True Synergy Networks.

My Call History Is Different on My Phone and Computer

If different devices show different call lists:

  1. Confirm that both applications use the same assigned extension.
  2. Verify that both devices are connected to the internet.
  3. Check whether the applications are running approved versions.
  4. Close and reopen the affected application.
  5. Allow time for call history to synchronize.

If the issue continues, contact True Synergy Networks.

Note: Synchronization behavior depends on the application versions and your organization’s configuration.

I See Missed Calls That Another Employee Answered

If shared departmental calls appear as missed:

  1. Confirm whether your extension is part of a ring group or queue.
  2. Check whether another employee answered the call.
  3. Avoid repeatedly calling the customer back without verifying whether the issue has already been handled.
  4. Contact True Synergy Networks if the missed-call behavior is causing confusion.

Note: Shared call group behavior is configured at the phone system level.

I Cannot See Calls Older Than a Month

If older call entries are unavailable:

  1. Review the available history filters.
  2. Confirm that you are signed into the correct account.
  3. Check whether the information is available in another approved application.
  4. Contact True Synergy Networks if historical call information is required.

Important: The application may only retain or synchronize a limited period of recent call history. Administrator-managed reports may have different retention periods.

My Missed Call Notification Will Not Disappear

If a notification remains visible:

  1. Open TSN Phone.
  2. Navigate to History or Recents.
  3. Review the missed-call entries.
  4. Close and reopen the application.
  5. Check whether the notification clears after synchronization.

If the notification continues to appear incorrectly, contact True Synergy Networks.

An Unknown Number Keeps Calling

If you repeatedly receive suspicious or unwanted calls:

  1. Review the caller’s information.
  2. Avoid sharing personal or confidential company information.
  3. Do not return suspicious international or premium-rate calls.
  4. Record the approximate dates and times.
  5. Contact True Synergy Networks if you need assistance.

Important: Caller ID can be spoofed. The displayed telephone number does not always identify the true origin of a call.
