Category: Microsoft 365
Applies to: Windows 10/11, macOS, iPhone, iPad, Android, and Web Browsers
Difficulty: Beginner
Estimated Time: 2–5 minutes

Overview

Microsoft Teams allows you to share your screen during meetings and calls so other participants can view your presentations, documents, applications, or other content. This is useful for collaborating with coworkers, presenting information, and demonstrating something on your device. This guide explains how to share your entire screen or a specific application in Microsoft Teams using your computer, mobile device, or web browser.

Before You Begin:

  • Make sure Microsoft Teams is installed or accessible through a supported web browser.
  • Join an active Microsoft Teams meeting or call.
  • Confirm that your device is connected to the internet.
  • Close any confidential documents or applications you do not want others to see.
  • Make sure your meeting organizer allows participants to share content.

Important: When sharing your entire screen, other meeting participants may be able to see notifications, open applications, and sensitive information displayed on your device.

Sharing a Window vs. Your Entire Screen

Microsoft Teams allows you to choose how much of your computer screen is visible to other participants.

Share Your Entire Screen:

  • Participants can see everything displayed on your selected monitor.
  • Useful when demonstrating multiple applications.
  • May expose notifications, desktop icons, or other open windows.

Share a Specific Window:

  • Participants see only the selected application window.
  • Useful for presenting a document, spreadsheet, or website.
  • Helps reduce the risk of accidentally displaying unrelated information.

Recommendation: Whenever possible, share only the specific application or window needed for your presentation.

Troubleshooting

If the Share button is missing or unavailable:

  1. Confirm that you have successfully joined the meeting.
  2. Check whether the meeting organizer has restricted screen sharing.

  4. Try using the Microsoft Teams desktop application if you are currently using a browser.

Note: Meeting organizers may restrict screen sharing to presenters or specific participants. If sharing is disabled, contact the meeting organizer.
