How to Create, Edit, and Collaborate on Google Docs, Sheets, and Slides

Category: Google Workspace
Applies to: Windows 10/11, macOS, iPhone, iPad, Android, and Web Browsers
Difficulty: Beginner
Estimated Time: 5–10 minutes

Overview

Google Workspace includes Google Docs, Google Sheets, and Google Slides. These applications allow you to create, edit, and collaborate on documents, spreadsheets, and presentations from virtually any supported device. Unlike traditional desktop software, these applications can run directly in your web browser and automatically save your work to Google Drive. This guide explains how to create files, edit existing documents, collaborate with coworkers, download Microsoft Office-compatible copies, and restore earlier versions of your work.

Before You Begin:

  • Make sure you are signed into your Google Workspace work account.
  • Confirm that your device is connected to the internet.
  • Have access to Google Drive.
  • Make sure you have the necessary permissions to edit shared files.
  • Confirm that your organization permits the sharing or collaboration you intend to perform.

Important: Always use your organization’s approved Google Workspace account when working with business documents. Avoid creating or sharing confidential company files through personal Google accounts.

Understanding Google Docs, Sheets, and Slides

Step 1: Open Google Drive

  1. Open Google Chrome, Microsoft Edge, Safari, Firefox, or another supported browser.
  2. Visit https://drive.google.com.
  3. Sign in using your Google Workspace work email address.
  4. Complete any required Two-Step Verification.

Step 2: Create a File

  1. Click New in the upper-left corner.

    • Google Docs
    • Google Sheets
    • Google Slides
  3. Choose a blank file or an available template.
  4. Wait for the new file to open.

Note: New files are generally created in the Drive location you selected. You can move them to another folder later.

Step 3: Name Your File

  1. Locate the file name near the upper-left corner.
  2. Click the name, typically Untitled document, Untitled spreadsheet, or Untitled presentation.
  3. Enter a descriptive file name.

  1. Look near the file name for the save status.
  2. Wait for any pending changes to finish saving.
  3. Confirm that the file is saved to Google Drive.

Important: Do not close your browser while changes are still pending or your internet connection is interrupted.

Note: You do not normally need to click a Save button when working in Google Docs, Sheets, or Slides.

How to Share a Document With Coworkers

Step 1: Open the Sharing Window

  1. Open the document, spreadsheet, or presentation.
  2. Click Share in the upper-right corner.
  3. Enter the email address of the person you want to invite.

Step 2: Choose Permissions

Select the appropriate permission level.
Viewer: The person can view the document without making changes.
Commenter: The person can view the document and add comments where supported.
Editor: The person can directly modify the document.

Recommendation: Only grant Editor access to people who need to make changes.
Important: Sharing permissions may be restricted by your organization. Do not use a personal account to bypass these restrictions.

Step 3: Send the Invitation

  1. Select the appropriate permissions.
  2. Add an optional message.
  3. Click Send.
  4. The recipient will receive access to the file.

Note: Files can be shared with multiple people, allowing coworkers to collaborate on the same document.

How to Collaborate in Real Time

One of the main benefits of Google Workspace is the ability for multiple people to work on a document simultaneously.

Step 1: Open a Shared Document

  1. Open a document that you have permission to edit.
  2. Confirm that other collaborators have been granted access.
  3. Begin making changes.

Step 2: Review Collaborator Activity

When other people are editing the document, you may see:

  • Their profile pictures or initials.
  • Colored cursors indicating where they are working.
  • Text and other changes appearing in real time.

Note: Multiple people can edit supported Google Workspace documents at the same time.

Important: Be mindful when deleting or moving large amounts of information in a shared document. Your changes may affect everyone working on the file.

How to Add Comments to a Document

Comments allow coworkers to discuss changes without directly modifying the original content.

Step 1: Select Content

  1. Open Google Docs, Sheets, or Slides.
  2. Highlight the text or select the content you want to discuss.
  3. Click the Add comment icon or select Insert → Comment.

Step 2: Enter Your Comment

  1. Type your comment.
  2. Click Comment to post it.
  3. Other collaborators with appropriate permissions can review or respond.

Note: You can mention a coworker by typing @ followed by their name or email address. Notification and assignment behavior depends on the application and available permissions.

Step 3: Resolve a Comment

When the discussion is complete:

  1. Locate the comment.
  2. Click Resolve.
  3. The comment will be marked as resolved.

Note: Resolving a comment does not remove the actual content from the document.

How to Suggest Edits in Google Docs

Google Docs supports a Suggesting mode that allows you to propose changes without immediately replacing the original text.

Step 1: Open Google Docs

  1. Open the document.
  2. Locate the editing mode selector near the upper-right corner.
  3. Select Suggesting, if available.

Step 2: Make Suggested Changes

  1. Highlight or edit the text you want to change.
  2. Google Docs will record the proposed edit as a suggestion.
  3. Add an explanation if necessary.

Step 3: Review Suggestions

Users with appropriate editing permissions can:

  • Accept a suggestion.
  • Reject a suggestion.
  • Reply to comments associated with the suggestion.

Note: Suggesting mode is particularly useful when reviewing contracts, proposals, and other important business documents.

Important: Only accept or reject changes when you are authorized to make those decisions.

How to Restore an Earlier Version

Google Docs, Sheets, and Slides automatically maintain version history for supported documents.

Step 1: Open Version History

  1. Open the document.
  2. Click File.
  3. Select Version history.
  4. Click See version history.

Step 2: Review Previous Versions

  1. Review the versions displayed.
  2. Select an earlier version.
  3. Examine the document to confirm whether it contains the information you need.

Note: Available version history and restoration controls depend on your permissions.

Step 3: Restore a Version

  1. Select the correct version.
  2. Click Restore this version.
  3. Confirm the action.

Important: Restoring a previous version changes the current file for all collaborators. If you only need information from an older version, consider copying the required content rather than restoring the entire document.

Note: You generally need editing permission to restore a previous version.
