Category: Google Workspace
Applies to: Windows 10/11, macOS, iPhone, iPad, Android, and Web Browsers
Difficulty: Beginner
Estimated Time: 2–5 minutes

Overview

Gmail allows you to automatically respond to incoming emails when you are away from the office, on vacation, or temporarily unavailable. This feature is called Vacation Responder, also known as an Out-of-Office Automatic Reply. This guide explains how to enable, customize, schedule, and disable automatic email replies using Gmail on your computer or mobile device.

Before You Begin:

  • Make sure you are signed into your Google Workspace work account.
  • Confirm that your device is connected to the internet.
  • Determine the dates you will be unavailable.
  • Prepare a short message explaining when you expect to return.
  • Consider providing an alternate contact for urgent requests.

Note: Gmail can automatically turn off your vacation responder after your selected end date. You do not need to remember to disable it when you return.

Windows or Mac — Set Up Automatic Replies in Gmail

Step 1: Open Gmail

  1. Open your preferred web browser, such as Google Chrome, Microsoft Edge, Safari, or Firefox.
  2. Visit https://mail.google.com.
  3. Sign in using your Google Workspace work email address.
  4. Complete any required Two-Step Verification.

Step 2: Access Gmail Settings

  1. Click the Settings gear icon in the upper-right corner.
  2. Select See all settings.
  3. Make sure the General tab is selected.
  4. Scroll toward the bottom of the page.
  5. Locate Vacation responder.

Step 3: Enable Vacation Responder

  1. Select Vacation responder on.
  2. Enter the First day you want your automatic replies to begin.
  3. Enable Last day if you want your replies to stop automatically.
  4. Select your return date or the last day you want replies to be sent.

Note: Gmail starts your automatic replies at 12:00 AM on the first selected day and ends them at 11:59 PM on the last selected day, unless you disable the feature earlier.

Important: If you do not configure an end date, your vacation responder may continue running until you manually disable it.

Step 4: Create Your Automatic Reply

  1. In the Subject field, enter a subject such as Out of Office.
  2. In the Message field, enter your automatic reply.
  3. Include your expected return date.
  4. Provide an alternate contact if someone else will be handling urgent requests.
  5. Review your message for accuracy.

Example Automatic Reply:

Subject: Out of Office

Thank you for your email. I am currently out of the office and will return on [Return Date]. During this time, I may have limited access to email. If your request requires immediate assistance, please contact [Alternate Contact] at [Email Address or Phone Number]. Otherwise, I will respond to your message as soon as possible upon my return. Thank you for your understanding.

Important: Avoid including confidential company information, detailed travel plans, or other sensitive personal information in your automatic reply.

Step 5: Choose Who Receives Your Automatic Reply

Depending on your Google Workspace configuration, you may see options such as:

  • Send a response only to people in my Contacts: Limits automatic replies to contacts in your Google account.
  • Send a response only to people in my organization: Limits replies to other users within your Google Workspace organization, when available.
  1. Review the available recipient options.
  2. Enable the appropriate restrictions if desired.
  3. Consider whether customers outside your organization should receive your automatic reply.

Note: If you restrict replies to internal users or contacts, customers and other external senders may not receive your out-of-office message.

Step 6: Save Your Automatic Reply

  1. Scroll to the bottom of the Gmail Settings page.
  2. Click Save Changes.
  3. Return to your Inbox.
  4. Look for a banner indicating that your vacation responder is enabled.

How Gmail Automatic Replies Work

Gmail’s Vacation Responder operates differently from manually replying to each message.

Automatic Reply Frequency:

  • Gmail generally sends your automatic reply the first time someone emails you during your absence.
  • The same sender may receive another reply if they contact you again after four days while your vacation responder remains enabled.
  • If you edit your vacation response, someone who previously received the original response may receive the updated message when they email you again.

Messages That May Not Receive Replies:

  • Messages delivered to your Spam folder.
  • Emails sent to mailing lists you subscribe to.
  • Messages excluded by your selected recipient restrictions.

Important: Vacation Responder does not prevent emails from arriving. Messages will continue to be delivered to your Gmail account while the feature is enabled.

How to Edit an Existing Automatic Reply

If your return date or alternate contact information changes, you can update your vacation response.

Windows or Mac

  1. Open Gmail.
  2. Navigate to Settings → See all settings → General.
  3. Scroll to Vacation responder.
  4. Update your dates, subject, or message.
  5. Click Save Changes.

iPhone or iPad

  1. Open Gmail.
  2. Navigate to Menu → Settings → Vacation responder.
  3. Update the available information.
  4. Tap Save.

Android

  1. Open Gmail.
  2. Navigate to Menu → Settings.
  3. Select your work account.
  4. Tap Vacation responder.
  5. Update your message or dates.
  6. Tap Done.

Note: Editing an active vacation reply may cause Gmail to send the updated reply to people who previously received your original message.
